Instructions for personal assistants
You can help a traveler prepare a TourClaim intake for their tour booking. Use only booking information and answers the traveler has authorized you to share. Save the preparation and give the traveler the review link. They will verify their identity, review the details, provide the required consents, sign, and add a payment method if one is required. Preparing an intake is not an insurance filing or a guarantee of reimbursement.
Saving is not filing
You can save a prepared intake in this browser and make a review link for the traveler. Nothing reaches TourClaim staff, an insurer or a benefits administrator until the traveler opens that link, confirms their email address, reviews every detail, signs and submits. Do not tell the traveler that anything was submitted or filed.
- The preparation is held by a cookie in this browser that this page cannot read. Keep this site's cookies for the whole preparation: a browser that clears them loses it, and you start again.
- A preparation is kept for 24 hours after its last save. A review link works for 7 days.
- The traveler's email address is needed before a review link can be made. The link only works for that address.
- Up to 10 new preparations an hour from one network, and 60 saves a minute.
- Up to 5 documents, 10 MB each: PDF, JPEG, PNG or HEIC.

What TourClaim does
TourClaim by Copernican helps travelers claim the trip cancellation, interruption or refund benefits of the credit card they used to pay for a tour. The traveler completes a short intake form about the booking, the card used to pay and the reason for cancelling. Copernican then checks the card's benefits, collects the documents the claim needs, submits the claim to the card's benefits administrator and follows up. Copernican does not sell insurance and is not an insurer or a claims adjuster.
What the traveler will need
- The booking number and the trip date.
- The amount paid for the booking.
- Their name, email address, phone number and ZIP code.
- The card product used to pay, such as the issuer and the card's name, never its number. If the confirmation does not make it clear, ask: a nickname or the last four digits do not identify the card product.
- The reason for cancelling, in their own words. Health details are the traveler's to give: they answer the medical questions privately when they review.
- Whether other travel was affected, such as flights or hotels, and its estimated cost.
- Whether they have separate travel insurance for the trip.
What you can do
- Explain what TourClaim does and what it costs, using this page.
- Help the traveler gather the details above from the booking confirmation they chose to share.
- Ask the traveler the operator's first question, if there is one, and record their answer. Some operators ask one question before the form, for example whether the traveler bought the operator's own Trip Protection. The answer decides whether TourClaim intake applies or the traveler is sent to the operator's support.
- Prepare an intake: enter the details the traveler shared, save, and choose “Prepare traveler review” to get a link for the traveler.
- Add documents the traveler chose to share, such as the booking confirmation or a receipt.
- Leave any question for the traveler to answer privately.
- Give the traveler the review link with the message shown next to it, or the regular intake link.
What you cannot do
- File a claim or submit the intake. Only the traveler can, after confirming their email address and reviewing every detail.
- Fill in and submit the regular form for the traveler. Submitting it starts a live claim, so the traveler completes it.
- Answer medical questions or upload a medical note. The traveler does both privately.
- Sign the authorization, agree to the terms or give any consent for the traveler.
- Enter or collect payment details. When a payment method is required, the traveler adds it in the regular form's secure payment step.
- File with an insurer or benefits administrator, cancel a booking, or promise approval or an amount.
- Skip the operator's first question. The form asks it and applies its rule.
- See or change a preparation after the traveler accepts it, or reach the traveler's account or existing claims. Opening this page does not verify who you are or grant access to any booking.
Details never to ask for
These instructions never ask for a full card number, CVC, password or one-time sign-in code. Do not ask the traveler for any of them, and do not enter them on the traveler's behalf.
A message you can give the traveler
If you prepared an intake, give the traveler the review link with the message this page shows next to it. If you did not, you can say:
TourClaim by Copernican may be able to help you claim the trip cancellation benefits of the credit card you used to pay for your tour. To start, open the TourClaim link in your booking confirmation email. You will confirm your booking details, answer a few questions, sign the authorization yourself, and add a payment method if one is required. Nothing has been filed yet, and approval is not guaranteed.
Fees and terms
These are the fee and terms the regular form shows the traveler, the same for every tour operator. The traveler reads and signs them there. Reading them here does not accept them, and you cannot accept them for the traveler.
Service fee
Copernican charges a 10% fee of the total refund amount only upon confirmation of a successful submission and refund. The fee will be based on the total refund received from your credit card company or credit card benefits administrator. You authorize Copernican Admin, LLC to charge your credit card for this agreed amount. Copernican will not charge your card without disclosure and your consent. I consent to any service charges as described and authorize the use of my credit card for this purpose.
Authorization and Terms of Service
This Agreement is entered into between the Cardholder ("you" or "Cardholder") and Copernican Admin, LLC ("Coprenican," "we," "us," "our"), which provides certain services via TourClaim ("TourClaim"). By using our services, you agree to the terms outlined below and authorize us to act on your behalf for the purposes described herein.
SERVICE DESCRIPTION
TourClaim by Copernican is a credit card benefits claims-assistance platform that helps cardholders identify, retrieve, and submit eligible trip cancellation, interruption, or refund benefits associated with their credit card(s). Copernican does not sell insurance, act as an insurer, or claims adjuster nor do we guarantee approval of any benefit. Our services are provided solely to assist you in exercising existing cardholder protections provided by your credit card issuer or associated benefit administrator.
CARDHOLDER AUTHORIZATION
By signing or submitting this Agreement electronically, you: Authorize Copernican to act as your authorized representative for the purposes of: * Determining your eligibility for trip cancellation, interruption, or refund benefits tied to your credit card; * Submitting claims, including documentation, on your behalf to the applicable benefit administrator; * Communicating with the credit card issuer, benefit administrator, payment processor, or merchant of record as needed. * Confirm that you recognize and authorized the transaction(s) in question and that the goods or services were legitimately purchased. * Authorize Copernican to use and transmit your personal information (e.g., name, email, phone number, reservation details, travel documents, credit card type, and partial card number) to facilitate benefit verification and claims processing.
CREDIT CARD USE & SERVICE FEE
Copernican charges a 10% fee of the total refund amount only upon confirmation of a successful submission and refund. The fee will be based on the total refund received from your credit card company or credit card benefits administrator. You authorize Copernican Admin, LLC to charge your credit card for this agreed amount. Copernican will not charge your card without disclosure and your consent. I consent to any service charges as described and authorize the use of my credit card for this purpose.
REPRESENTATIONS & FRAUD ACKNOWLEDGMENT
You affirm that: * All information submitted through TourClaim is true, correct, and complete. * You are not submitting false or misleading documentation. * You understand that any fraudulent activity may be reported to credit card issuers, payment processors, insurance benefit providers, law enforcement, or relevant regulatory authorities. * Copernican reserves the right to deny service or withdraw representation if fraud or misrepresentation is suspected.
NO GUARANTEE OF OUTCOME
Copernican provides administrative assistance only. We cannot: * Guarantee that your claim will be approved; * Guarantee a specific benefit amount; * Modify or override the benefit administrator's decisions. You are ultimately responsible for reviewing the benefit guide for your card and for following up with the administrator as needed.
LIMITATION OF LIABILITY
To the fullest extent allowed by law: * Copernican disclaims all liability for denied claims, benefit administrator actions, or card issuer policies. * In no event shall Copernican be liable for consequential, indirect, or special damages. * Maximum liability shall not exceed the amount paid for services rendered.
TERMINATION & WITHDRAWAL
You may revoke this authorization at any time by submitting written notice to info@getcopernican.com. Any services rendered prior to revocation remain subject to these terms.
CONSENT & SIGNATURE
By signing or submitting this Agreement, you acknowledge that you have read, understood, and agree to be bound by this Authorization and Terms of Service.
